How to write a quote follow-up email

A quiet quote is not always a lost job. Your customer may be comparing options, waiting on timing, or missing an answer. A short, specific email gives them an easy way to tell you.

This guide is for US service businesses following up on a written quote the customer requested. It is not a cold-email script for people who never asked about your work.

Check the quote before you chase

Read the whole email thread first. A reply in another inbox can turn a helpful reminder into an unwelcome chase. Check these details before sending anything:

  • Has the customer already answered, booked, declined, or asked you to stop? Do not send another reminder.
  • Did they ask you to follow up later? Use their date instead of your usual schedule.
  • Is the scope still correct? Mention the actual job, not a generic request to reconnect.
  • Is the quoted price still valid? Check materials, expiry dates, and your availability before repeating it.
  • Is the address correct? Stop after a bounce and check it before trying again.

If an old quote has expired, ask whether the project is still relevant and offer a refreshed quote. Do not imply that last season’s price or an old appointment slot is still available.

Use a short sequence, not an endless chase

For a recent, unanswered quote, our example uses 3 nudges: day 1, day 4, and day 10 after follow-up starts. These are suggested checkpoints, not a proven best schedule. Stop as soon as the customer replies, then handle their answer.

For a quote several months old, start with just one check-in. Do not automatically run all 3 messages. If they asked for more time, respect that. Silence does not justify an indefinite sequence.

Each email should identify the job, ask one easy question, and make it comfortable to say no. Keep it under 90 words. Avoid guilt, invented scarcity, and subjects that pretend an earlier conversation happened.

3 sample emails you can adapt

Everything below is fictional: Alex, Oak Lane Fencing, the date, and the price. Replace those details with your own. These examples are not sent and do not start an automated Chase.

Sample · Day 1

Ask whether the quote arrived

Subject: Your fence repair quote

Hi Alex, Just checking that you received our Oct 1 quote for the fence repair. It came to $1,250. Do you have any questions about the work or the price? If your plans have changed, that is fine too. Oak Lane Fencing

Sample · Day 4

Offer one useful next step

Subject: A question about your fence repair

Hi Alex, Are you still considering the fence repair we quoted on Oct 1? If it would help, we can talk through the scope before you decide. Would you like us to arrange a short call? No problem if the job is on hold. Oak Lane Fencing

Sample · Day 10

Close the loop without pressure

Subject: Closing the loop on your fence quote

Hi Alex, One last check-in about the fence repair quote. We will leave it with you and stop following up after this message. If you would like to revisit it later, reply here and we can confirm the current price and availability. Oak Lane Fencing

Remember commercial-email safeguards

A quote request does not automatically make every later message exempt from US commercial-email rules. The FTC says commercial email needs truthful sender details and subjects, advertising identification, a postal address, and an easy opt-out. Its rules also apply to business-to-business email.

The samples above show the message body, not a complete compliance footer. Add the required details and a working opt-out before using them for commercial email. Honor a request to stop immediately; do not wait for the next scheduled reminder.

Read the FTC’s CAN-SPAM guide for the full requirements. This is practical writing guidance, not legal advice.
